Conference Planning & Development: 

The Conference Planning & Development Committee - Determine theme of conferences, session topics, venue, menu, timing of various events/sessions, program material development, marketing strategies, etc.

In addition to the overall Planning Committee, each year subcommittees will be created.

Volunteer opportunities:

  • Program Development – Identify and secure session presenters; assist in developing the conference schedule and workshop/session topics, obtain session facilitators, volunteers; develop a volunteer schedule and sign-up sheets to ensure all sessions and registration areas are covered appropriately; procure speaker forms from all speakers and inform Audiovisual Subcommittee of any special technology needs.
  • Audiovisual – Determine and coordinate audiovisual needs for the conference, and ensure all speakers are connected appropriately for their workshops/sessions; assist with obtaining venue support as needed. 
  • Community Outreach – Identify a local charity to benefit from a fundraiser; coordinate a fundraising event to be held at the conference; ensure charity donations collected are distributed to appropriate charities in area. 
  • Marketing and Membership – Identify and reach out to potential participants, partners and institutions, sharing information about the organization and conference activities; build relationships with these groups, businesses, organizations, institutions, hospitals, non-profits, etc.; assist with development and dissemination of all marketing materials. 
  • Sponsorship - Work with Sponsorship chair to identify opportunities to contact various companies and organizations for sponsorship of the annual conference. Review with the Executive Committee the annual plan for sponsorship levels, amounts, requirements and offerings (space, presentations, etc.).                                                            
  • Publications – Design brochures, graphics, signage, programs, games, etc. 
  • On-Site Event Support – Assist with session facilitation, registration desk, signage, material distribution, setup, breakdown, and guest assistance as needed.  This committee will also include all members of the Executive Committee.

Executive Committee:

President – serves as the Chair of the organization. The President ensures that the organization fulfills its responsibilities for governance of the North Carolina Research Administrators Alliance. The President works in partnership with the Executive and Planning Committees to achieve the mission of the organization. In this role, the President establishes the plan for the annual conference, establishes the timeline for the planning process and requests the planning committee to be assembled.  The President transitions out of office in the even numbered years and remains on the planning committee for a minimum of one additional year after term.

 

Vice President - collaborates with the President to ensure the responsibilities of the organization are met for the annual meeting.  In addition, the Vice President is responsible for assembling the planning and ad hoc nominating committees to plan the conference and host the nomination and vote of the transitioning officers each year. The Vice President transitions out of office in odd number years and remains on the planning committee for a minimum of one additional year after term.

 

Secretary – responsible for the official record keeping for the organization. Takes, organizes, and disseminates Executive/Program and annual conference minutes to provide detailed written documentation in support of the organizational mission. Runs the business meeting at the annual conference to maintain proper documentation and presentations of the organizational business.  The Secretary transitions out of office in the even numbered years and remains on the planning committee for a minimum of one year after term.

 

Treasurer – responsible as the custodian of funds and financial records for the organization, basic financial management, budget development and annual reporting to the organization at the annual conference.  The Treasurer transitions out of office in the odd numbered years and remains on the planning committee for a minimum of one year after term.
